What is recorded, who holds it, and for how long.
This statement describes the product as designed for its first pilot term. It changes only with notice to the campus, and this page changes with it.
What is recorded
The submission the student already made in Canvas, read for the check. The consent the student gives on the first screen. The student's spoken answers, their transcript with timestamps, the questions asked, the proposed score with its reasons, and the instructor's action on it. No face, no voiceprint, no eye tracking, and no biometric identifier of any kind.
Why
To ask the student about their own work, propose an understanding score on the instructor's rubric, and file a record the instructor signs. Nothing is recorded for any other purpose. OralIQ never says who wrote the work, and never sells the record or shares it for advertising or for anything outside the course.
Who holds it, and where
OralIQ holds the record for the college, as a school official under the college's existing Canvas data agreement, with US data residency in the first version. The transcript and the record are filed on the student's Canvas submission as part of the education record. The recording is held by OralIQ for one year from the check, longer only under a legal hold, and its deletion is logged.
Who sees it
The student can replay the recording and read the transcript, and can flag a misheard word before the instructor sees the proposal. The instructor sees the proposal, the transcript and the recording in SpeedGrader. Campus offices see the record only under the college's own policy, and a conduct case's conclusion is theirs, never OralIQ's.
The vendors who process it
Two vendors process the words. Deepgram transcribes the speech with model training opted out on every request, so audio is held there only long enough to transcribe it. Anthropic's Claude models write the questions and score the answers under commercial terms that bar training on the content and delete it from Anthropic's systems within thirty days. The college gets thirty days' notice before any change of vendor.
Nothing a student says is used to train a model, at OralIQ or at either vendor. The instructor's edits and written reasons improve the product's questions and scoring; the student's words do not.
The student's rights
Replay, read, flag and contest, at no charge. A contested score is re-assessed by a person. A request to inspect or amend the record under the campus's education-records policy goes to the campus, and OralIQ places a legal hold on the record the moment such a request, a grade appeal or a conduct case is open.
Questions
Write to hello@oraliq.co. Procurement and legal offices receive the sub-processor list and the completed security questionnaire with the pilot agreement.
